What Private Practice Owners Need to Know Before Mixing Business & Travel

There’s a particularly appealing piece of business advice floating around social media:

Take a vacation. Hold a board meeting. Make it a business expense.

‍ ‍

Unfortunately, tax law isn’t quite that Instagram-friendly.

‍ ‍

Legitimate business meetings, business retreats, and business travel absolutely exist. But a personal expense doesn’t automatically become a business expense simply because business is discussed.

Current IRS guidance says deductible business expenses generally must be ordinary and necessary. Business travel has additional requirements, personal expenses remain personal, accompanying family travel is generally subject to strict limitations, and taxpayers are responsible for maintaining records that substantiate deductions.

Why Business Meetings Still Matter

‍ ‍

The tax deduction shouldn’t be the primary reason to hold strategic meetings.

‍ ‍

Private practice owners need protected time to review:

‍ ‍

  • Revenue and expenses

  • Caseload and capacity

  • Referral trends

  • Marketing

  • Policies and procedures

  • Risk management

  • New services

  • Long-term strategy

  • Quarterly goals

The goal is to periodically move out of clinician mode and into CEO mode.

The BUSINESS Test™

‍ ‍

Before planning a business meeting or retreat, consider:

‍ ‍

Business Purpose: What legitimate business outcome are you trying to accomplish?

‍ ‍

Useful Agenda: What specifically will be reviewed, discussed, or decided?

‍ ‍

Substantiation: What records will demonstrate what occurred?

‍ ‍

Individuals: Why does each attendee need to participate?

‍ ‍

Necessary & Ordinary: How does the activity reasonably relate to operating your practice?

‍ ‍

Expenses Separated: Which costs are business and which are personal?

‍ ‍

Schedule: Is substantive business activity actually planned?

‍ ‍

Specialist Check: Has your CPA advised you about your particular situation?

‍ ‍

What About Bringing Your Spouse or Family?

‍ ‍

This deserves special attention. Current IRS guidance generally does not allow a deduction for an accompanying spouse, dependent, or other person’s travel merely because they come on a business trip. Specific requirements apply, including bona fide business-purpose considerations. 

‍ ‍

This is an area to discuss with your tax professional before making assumptions.

‍ ‍

Documentation Matters

‍ ‍

Good documentation isn’t about manufacturing proof for an expense.

‍ ‍

It’s about keeping accurate records of legitimate business activity.

‍ ‍

The IRS emphasizes recordkeeping sufficient to support deductions, and travel documentation may require details such as time, place, amount, and business purpose.

Consider retaining your agenda, meeting notes, receipts, calendar entries, decisions, and resulting action items.

The Bigger Lesson

The most valuable part of a business retreat may have nothing to do with taxes.

‍ ‍

Stepping outside daily clinical operations can give you space to evaluate your practice strategically rather than reactively.

The better question isn’t:

“How can I make this deductible?”

‍ ‍

It’s:

‍ ‍

“Would this still be a worthwhile business activity if there were no deduction?”
